Before You Begin
- Do not change the archiving rules of a subclient that is being archived.
Required Capability: Capabilities and Permitted Actions
To configure
archiving rules for the Exchange Mailbox Archiver Agent or the Exchange Public
Folder Archiver Agent:
- From the CommCell Browser, right-click the subclient whose archiving rules you want to configure, then click Properties from the shortcut menu.
- Click the
Archiving Rules tab of the Subclient Properties dialog box.
- Choose one of the following:
- To enable archiving rules, clear the
Disable All Rules checkbox, then continue on to the next step.
- To disable archiving rules, select the
Disable All Rules checkbox, if not already selected, and skip to Step 8.
Keep in mind that when archiving rules are disabled for Exchange Mailbox Archiver, the only way to perform migration
archiving operations for this subclient is by manually adding messages or items to the
archive list through Outlook. When archiving rules are disabled for Exchange Public Folder
Archiver, no data will be archived.
- On the Message Rule tab:
- In the Archive message after n days field, enter or select a value corresponding to the number of days old that a message/item must be in order for the message/item
to be archived.
- In the Archive message only if size is greater than n KB field, enter or select a value corresponding to the size a message/item must be in order for the message/item
to be archived.
- You can optionally select the Archive messages with attachment only checkbox
to archive only messages with attachments.
- You can optionally select the Leave Behind Message Body checkbox
so that the body of the message will not be removed during the stubbing
process.
- You can optionally select the Use either Age or Size rule checkbox so that any message/item will be
archived that meets either of these rules, and all other applicable
Archiving Rules have been met.
- You can optionally select the Use Sent/Received time for Age rule checkbox so that any message/item will be
archived if the sent/received time of the message/item matches the age rule, and all other applicable
Archiving Rules have been met.
- For the Exchange Mailbox Archiver Agent, you can optionally select the Do Not
Archive Unread Messages checkbox to specify that no unread messages will be
archived even if they qualify for migration archiving under the Age and/or Size rule.
- For the Exchange Mailbox Archiver Agent, if you do not want to archive the entire mailbox, you can optionally enter the root-level mailbox folders you would like to include for archiving in the Include following archiving folders entry space. If you are entering more than one folder, be sure to separate additional entries with a semi-colon (;).
- On the Watermark Rule tab (for the Exchange Mailbox Archiver Agent), you can:
- Optionally select the Used disk space checkbox and select a value for
Archive if used disk space reaches n % of total volume, which is the disk space high watermark. We do not recommend using only the Used disk space watermark as the sole criteria for
archiving, as this could result in data being archived unintentionally.
- Optionally select the Mailbox Quotas checkbox and select values for:
- Archive if size of mailbox reaches n % of assigned quota, which is the mailbox size high watermark.
- Stop archive when mailbox reaches n % of assigned quota, which is the mailbox size low watermark.
- On the Attachment Filter tab, you can optionally include and/or exclude attachment filters by adding the appropriate filters in these fields. Note that when attachment filters are specified, the age/size rules are ignored as
archiving criteria for attachments of the specified type. When attachment filters are not specified, age/size rules will determine whether the attachments will be
archived.
- On the PST tab (for the Exchange Mailbox Archiver Agent), you can optionally enable the
archiving of PST files by selecting the PST Location checkbox. When enabled, you must specify whether the location of the PST files
to be archived is a local drive on the Exchange Server or a network share connected to the Exchange Server, by selecting either Use Local Drive or Use Network Share. Then type in, or Browse to, the location of the root folder where the PST directories reside.
- On the Stub Rule tab, you can:
- Select the Preserve stubs until the media has been pruned radio button to allow stubs to exist in a mailbox or public folder until the media retention time has been met and data aging has been run.
- Optionally select the Prune stub only after n days radio button and select a value corresponding to the number of days that will determine the minimum life of a stub.
- Enter or select a value for Create new index every n
Archive Operations to specify how often a new index is created.
- Optionally select the Do not create stub checkbox so that no stubs are created for
archived messages or items.
- Click OK to save your changes.
Before you Begin
- After selecting your archiving options, you will be prompted to create a
schedule for the migration archiving operation job. For more information,
see
Scheduling.
- Migration archiving of data in the Notes folder is not supported.
- Configure the Windows Event Log Settings to
ensure the log does not become full, which could cause the migration archiving
operation to fail.
- It is required that each mailbox have an SMTP address property - to be
archived by the Exchange Mailbox Archiver Agent.
- If you plan to archive Exchange data with pass-phrase encryption, keep in
mind that such data cannot be recovered from Outlook or OWA, but can only be
recovered by performing a Browse and Recovery operation from the CommCell
Console.

To schedule
a migration archiving operation of
a selected subclient or archive set:
- From the CommCell Browser, select
one of the following:
- To archive a subclient, right-click the subclient that you want to
archive and
click Archive.
- To archive an archive set, right-click the archive set that you want
to archive, click All Tasks and click Archive All Subclients
or Archive Default Archive Set.
- From the Archive Options
dialog box, select when you want to run the job by clicking Schedule.
- If you want to access the
Advanced Archive Options, click the
Advanced button.
- After selecting when you want to run the job and any advanced options, click
OK.
- From the Schedule
Details (Schedule Details) dialog box, create a schedule for this
operation. See Create a
Job Schedule for more information. Click OK to continue.
- Your migration archiving operation will execute according to the specified schedule.

The migration archiving process allows you to archive data immediately without having to wait for the scheduled
archiving time.

Start a Migration Archiving Operation of PST Files
Use the following procedure to archive PST files for the Exchange Mailbox
Archiver Agent.
Before you Begin
- Read Guidelines for Archiving PST Files for important configuration prerequisites.
- Review
Moving or Copying PST Stubs.
- If you plan to archive Exchange data with pass-phrase encryption, keep in mind that such data cannot be recovered from Outlook or OWA, but can only be recovered by performing a Browse and Recovery operation from the CommCell Console.
- Migration archiving of data in the Notes folder is not supported.
- Configure the Windows
Event Log Settings to ensure the log does not become full, which could cause the migration
archiving operation to fail.
- It is required that each mailbox have an SMTP address property - to be
archived by the Exchange Mailbox Archiver Agent.
Required Capability: Capabilities and Permitted Actions
To
archive PST files:
- From the CommCell Browser, right-click the subclient of the Exchange Mailbox
Archiver Agent that you want to set up for PST file archiving, and select Properties.
- From the Subclient Properties (Archiving Rules) PST tab, select the PST Location checkbox to enable
archiving of PST files.
- Specify that the location of the PST files to be archived is a local drive on the Exchange Server
by selecting Use Local Drive.
- In the PST Location field, type in or Browse to the local path you
have designated as the staging path in the PSTDiscovery Wizard.

Note that all other Archiving Rules, except for Do not create stub, are ignored when
archiving PST files, so that all PST files associated with mailboxes in subclient content in the root folder will be
archived. The Do not create stub rule applies to both mailboxes and PST files. |
- Click OK to save your settings.
- Right-click the subclient that you just set up for PST file archiving, and then click
Archive from the short-cut menu.
- From the Archive Options dialog box, select when you want to run the job by clicking Run Immediately.
- If you want to access the Advanced Archive Options, click the Advanced button.
- After selecting when you want to run the job and any advanced options, click OK.
The migration archiving job will begin and you can track the progress of the
job in Job Controller.
- After the job finishes, verify that it completed successfully.
- One method of verifying that the migration
archiving operation was successful, is to go to the Job History window, then right-click the job and select View Failed Items.
- Another method of verifying that the migration archiving operation was successful is to open
PSTDiscoveryGui.exe and view the value in the
Status column. The PST files that you had selected for archiving will display an updated
status to reflect whether it was successfully archived. If the PST file failed, an error message is provided to give you an idea of why the job might have failed.
- If the PST archiving was successful, it is recommended that the PST Location checkbox be cleared on the Subclient Properties (Archiving Rules) PST tab, so that subsequent migration
archiving operations on the subclient will be faster.
NOTES
- Keep in mind that PST file size is not immediately reduced after
archiving. To reduce the PST file size after archiving, see Article 289987 in the Microsoft Knowledge Base for the procedure on How to compact PST and OST files to eliminate deleted item space in Outlook 2002 and Outlook 2003. By following the steps in this article, PST files can be compacted to save space after they have been
archived.

After completing a PST archiving or recovery operation, ensure that the MAPI32.dll file is removed from the
<Software Installation Path>\Base installation directory on the
Client, otherwise non-PST restore/recovery/retrieve jobs for Exchange may go into a pending state.
Configure the Windows Event Log Settings
Use the following procedure to configure the event log setting for the Windows
operating system. The Exchange Mailbox iDataAgent,
Exchange Compliance Archiver Agent and/or the Exchange Mailbox/Public Folder
Archiver Agents may
write messages to the Windows Server Application Log during operations. Jobs may
fail if this log becomes full and cannot accept messages. To prevent this problem,
we recommend setting the log to overwrite existing events as follows.
Configuring Windows Event
Log Settings
- Open the Windows Event Viewer (Start>Programs>Administrative Tools>Event
Viewer).
- In Windows 2000: right-click the Application Log and select Properties.
- In Windows 2000: at the Log Properties window, select Overwrite Events as
Needed.
Use the following procedure to start a migration archiving operation in
the suspended state. For more information, see
Start in Suspended State.

displayed in the Job Controller window.
Use the following procedure to start a migration archiving operation on new media. For more

status in the Job Controller window.
- When the migration archiving operation has completed, a confirmation message will be
displayed in the Job Controller window.

Index.

archiving operation that will create a new index:
- From the CommCell Browser, select one of the following:
- To archive a subclient, right-click the subclient and click
Archive.
- To archive all subclients in an archive set, right-click the
archive set, select All Tasks and click Archive All Subclients
or Archive Default Archive Set. Click Yes to confirm.
- From the Archive Options dialog box, select when you want to run the job by clicking Run Immediately.
- Click the Advanced button to access the Advanced Archive Options dialog box.
- Click on the Advanced
Archive Options (Data) tab, click Create new index and click OK.
- From the Archive Options dialog box, click OK. The migration
archiving operation will begin and you can track the progress of the job in the Job Controller window.
- When the migration archiving operation has completed, Job Controller displays Completed.
Use the following procedure to start a migration archiving operation that marks media full on
completion. For more information, see
Mark Media

status in the Job Controller window.
- When the migration archiving operation has completed, a confirmation message will be
displayed in the Job Controller window.
Add Messages/Folders to the Archive List
Before You Begin
- Review Using the Archive List.
- This procedure is supported for use with the Exchange
Mailbox Archiver Agent, and requires that the mailbox containing the messages or folders to be added to the
Archive List has not been excluded from migration archiving operations.
To add messages/folders to the
Archive List in Outlook:
- Log on to your mailbox in Outlook. The Outlook window appears.
- From Outlook, locate the messages or folder that you want to add to the
Archive List, then click on that
data object and select one of the following options:
- Tools -> Mailbox Archiver -> Add Selected Messages to
Archive List
- Tools -> Mailbox Archiver -> Add Messages in Selected Folder to
Archive List
- The icon for each message added to the Archive List will change to
indicating that it is now a migration
archiving candidate which will be archived during the next migration archiving operation from the CommCell Console.
- After the migration archiving operation is run, the icon for each archived message will change to
indicating that it is a stub (unless the Do Not Create Stub option is enabled in the CommCell Console, in which case the stub will not appear at all).
Configure Offline Archive Options
Before You Begin
- Review Configuring
Offline Archive Options. See also: "Offline Archiving" in
Books Online.
- This procedure is supported for use with the Exchange Mailbox Archiver Agent, and requires that the mailbox containing the messages or folders to be
archived offline has not been excluded from migration archiving operations.
- In order to conduct offline archiving operations, keep in mind that the
Offline Archive option must first be enabled on the Subclient Properties (General) tab in the CommCell Console, and
the appropriate registry keys must be configured. For more information, see the "Offline
Archive" topic in Books Online.
- Outlook Add-In users must have local administrative level privileges to
configure their clients for offline archiving.
Required Capability: See "Capabilities and Permitted Actions"
in Books Online.
To configure
offline archive options in Outlook:
- Log on to your mailbox in Outlook. The Outlook window appears.
- From Outlook, click Tools ->
Mailbox Archiver -> Change
offline archive options.
- Select the desired options on the
Offline Archive Options dialog, then click OK.
Remove Messages/Folders from the Archive List
Before You Begin
To remove messages/folders from the Archive List in Outlook:
- Log on to your mailbox in Outlook. The Outlook window appears.
- From Outlook, locate the messages or folder that you want to remove from the Archive List, then click on that data object and select one of the following options:
- Tools -> Mailbox Archiver -> Remove Selected Messages from Archive List
- Tools -> Mailbox Archiver -> Remove Messages in Selected Folder from Archive List
- The selected objects will be removed from the Archive List, and the icon for each message will change back to the icon that is normally displayed for mail messages.
View Message Stub Attachment Properties

To view the attachment properties of a
message/item stub in Outlook:
- Log on to your mailbox in Outlook. The Outlook window appears.
- From Outlook, locate the stub for the message or item whose attachment properties you want to view. Click the stub to select it then double-click the attachment icon in the body of the stub to open it.
- The attachment properties text file will display the file name and size of the attachment. Select File -> Exit to close the file.
