View Message Stub Attachment Properties

wedge.gif (136 bytes)To view the attachment properties of a message/item stub in Outlook:

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook, locate the stub for the message or item whose attachment properties you want to view. Click the stub to select it then double-click the attachment icon in the body of the stub to open it.
  3. The attachment properties text file will display the file name and size of the attachment. Select File -> Exit to close the file.

Add Messages/Folders to the Archive List

Before You Begin

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook, locate the messages or folder that you want to add to the Archive List, then click on that data object and select one of the following options:
  3. The icon for each message added to the Archive List will change to indicating that it is now a migration archiving candidate which will be archived during the next migration archiving operation from the CommCell Console.
  4. After the migration archiving operation is run, the icon for each archived message will change to indicating that it is a stub (unless the Do Not Create Stub option is enabled in the CommCell Console, in which case the stub will not appear at all).

Remove Messages/Folders from the Archive List

Before You Begin

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook, locate the messages or folder that you want to remove from the Archive List, then click on that data object and select one of the following options:
  3. The selected objects will be removed from the Archive List, and the icon for each message will change back to the icon that is normally displayed for mail messages.

Select Stubs to Erase

Before You Begin

  1. From Microsoft Outlook, select the stubs that you want to erase.
  2. Go to the Tools menu, click Mailbox Archiver and then click Add Selected Stubs to Erase List. If you want to erase all of the stubs in the folder click Add Stubs in Selected Folder to Erase List.
  3. A folder will appear in your folder list called Data Migrator. Under this folder another folder is created called Migrated Data to Be Erased.
  4. The stubs you have selected to be erased will be moved to the Migrated Data to Be Erased folder.

Before You Begin

  1. From Microsoft Outlook, navigate to the erase list folder called Migrated Data to Be Erased.
  2. Select the stubs that you want to remove from the erase list, then drag and drop the selected stubs back to the folders from which they originated.
  3. The selected stubs will then be removed from the erase list, and will not be erased.

Recover a Message from the Outlook Client

Before You Begin

Required Capability: None

wedge.gif (136 bytes)To recover a mail message or public folder item from the Outlook Client:

  1. Log on to your mailbox in Outlook.
  2. In order to recover a message or item that has been archived, locate the message or item you want to recover in Outlook, then double-click the stub.
  3. If the DataArchiver Outlook Add-In was installed with the Prompt user before message recovery option enabled, then the Archived Message dialog box appears; if not, skip to the next step. The dialog will indicate that the message being opened is an archived message and will ask whether you want to recover the original message. Optionally, you can click Open Stub to open the stub and view the generic message properties. Also, you can select the Delete stub after recovery checkbox to delete the stub after the message has been recovered. Click Recover to continue.
  4. The Recovering Archived Message dialog box appears, indicating the status of the recovery. After the recovery has completed, the status will change to "Recovery completed successfully", the message or item will be recovered to either the mailbox/folder from which it was archived or the Recovered Items folder (depending on your configuration), and the message or item will be opened for viewing.

Recover a Message from a Stub in an Archived PST File Using Outlook

Before You Begin

Required Capability: None

wedge.gif (136 bytes)To recover a message from a stub in an archived PST file using Outlook:

  1. From Outlook, log into the mailbox of the user whose PST file has been archived.
  2. Click on the File menu, select Open then Personal Folders File (or Outlook Data File on XP).
  3. Browse to the location where the PST files reside, and select the PST file you want to recover, then click OK to open the PST file.
  4. Go to the folder where the message stub resides, then double-click the stub.
  5. The Archived Message dialog box will ask whether you want to recover the original message. Click Recover.
  6. The recovery job will begin and the Recovering Archived Message dialog box appears, indicating the status of the recovery. After the recovery has completed, the status will change to "Recovery completed successfully" and the message will be recovered to the Recovered Items folder in the mailbox.

Configure Offline Archive Options

Before You Begin

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook, click Tools -> Mailbox Archiver -> Change offline archive options.
  3. Select the desired options on the Offline Archive Options dialog, then click OK.

Find and Retrieve Messages in Outlook

Before You Begin:

Required Capability: The user name referenced in step 3 must be a member of a CommCell User Group that has permissions to perform Browse and In Place Recover and Browse and Out of Place Recover operations.

  1. Log on to your mailbox in Outlook.
  2. Select Tools -> Mailbox Archiver -> Find and Recover Messages. An authentication window will display.
  3. Depending on your configuration, an authentication window may display. If applicable, enter the user name and password authorized to access the CommCell, then click OK. Single sign-on users will not receive this prompt and can skip to the next step.
  4. From the Find/Browse and Recover Messages dialog box, click the Compliance Search tab, then enter the desired search criteria in the Search tab.

    If you would like to search a different Exchange Server than the default Exchange Server that is connected to this Outlook session, select the desired Exchange Server from the Select Exchange Server list.

  5. If applicable, you can click the Time Range tab to specify a time range in which to search. To set the browse time range, select a Start Time and End Time in the Search Time Range group box. If you want to narrow the search to include only messages received within a specified time range, click the Specify Time Range checkbox then enter the Start Time and End Time in the Receive Time Range group box.
  6. If you are searching a backward-compatible content index, you can click the Advanced Search tab and enter advanced search criteria.
  7. Once all search criteria has been entered, click Find Now.
  8. If no messages matched the specified search criteria, the status of the search operation will display at the bottom of the dialog box to indicate "No messages found". Otherwise, a list of messages that matched the search criteria will appear in the display pane.
  9. Perform one of the following actions:
  10. Select the appropriate options on the Recovery Options Selection dialog, then click OK. The status of the retrieve operation will display at the bottom of the dialog box.
  11. Navigate to the Retrieved as job ID <job_id#> folder (for the job ID corresponding to this search and retrieve job) in the target mailbox and you will see the retrieved messages.

Find and Restore Messages in Outlook

Before You Begin

  1. Log on to your mailbox in Outlook.
  2. Select Tools -> Mailbox Archiver -> Find and Recover Messages. An authentication window will display.
  3. Depending on your configuration, an authentication window may display. If applicable, enter the user name and password authorized to access the CommCell, then click OK. Single sign-on users will not receive this prompt and can skip to the next step.
  4. From the Find and Recover Messages (Search) dialog box select the Exchange Mailbox option, then enter the desired search criteria.
  5. Optionally, you can click the Time Range tab to specify a time range in which to search. To set the browse time range, select a Start Time and End Time in the Search Time Range group box. If you want to narrow the search to include only messages received within a specified time range, click the Specify Time Range checkbox then enter the Start Time and End Time in the Receive Time Range group box.
  6. Optionally, if you are searching a legacy content index, you can click the Advanced Search tab and enter advanced search criteria.
  7. Once all search criteria has been entered, click Find Now.
  8. If there is more than one Exchange Server and/or archive set that may be searched, an Exchange Server Selection pop-up dialog will display. Select the appropriate options and click OK to continue.
  9. If no messages matched the specified search criteria, a pop-up will indicate that no data was found. Otherwise, the messages that matched the search criteria will appear in the display pane.
  10. If you would like to save the search results to a delimited text file, then right-click on the desired messages in the display pane and select Export Results View. Enter the path and file name and click Save.
  11. Click on the desired messages in the display pane then click Recover All Selected. The Recovery Options Selection dialog will display.
  12. Select the appropriate option on the Recovery Options Selection dialog, then click OK. A pop-up window will display indicating the status of the restore operation.
  13. Once the restore has completed, click Close to exit the pop-up window.
  14. The messages will be restored to their original folders in your Outlook mailbox.

Find and Recover Messages in Outlook

Browse and Recover Messages from the Outlook Client

Before You Begin

  1. Log on to your mailbox in Outlook.
  2. Select Tools -> Mailbox Archiver -> Find and Recover Messages.
  3. Depending on your configuration, an authentication window may display. If applicable, enter the user name and password authorized to access the CommCell, then click OK. Single sign-on users will not receive this prompt and can skip to the next step.
  4. From the Find/Browse and Recover Messages dialog, click the Browse and Recover Messages tab. The Browse Options dialog will display.
  5. From the Browse Options dialog, choose either Browse the latest data or Specify Browse Time. If you selected Specify Browse Time then you will need to enter the Browse Data Before date, time and time zone in the corresponding fields. Optionally, you can click Advanced to access the Advanced Browse Options and enter the Exclude Data Before date, time and time zone. After specifying the browse time and any advanced options, click OK. The Exchange Server Selection dialog will display.
  6. From the Exchange Server Selection dialog, specify which Exchange Server you want to browse then click OK.
  7. If no messages were located within the specified time range, a pop-up window will indicate that no data was found. Otherwise, the messages that were found within the specified time range will appear in the display pane.
  8. To recover data from the browse results, right-click on the desired messages/folders in the display pane of the Browse and Recover Messages tab, then click Recover All Selected. The Recovery Options Selection dialog will display.

  4. From the Find/Browse and Recover Messages dialog, click the Browse and Recover Messages tab. The Browse Options dialog will display.
  5. From the Browse Options dialog, choose either Browse the latest data or Specify Browse Time. If you selected Specify Browse Time then you will need to enter the Browse Data Before date, time and time zone in the corresponding fields. Optionally, you can click Advanced to access the Advanced Browse Options and enter the Exclude Data Before date, time and time zone. After specifying the browse time and any advanced options, click OK. The Exchange Server Selection dialog will display.
  6. From the Exchange Server Selection dialog, specify which Exchange Server you want to browse then click OK.
  7. If no messages were located within the specified time range, a pop-up window will indicate that no data was found. Otherwise, the messages that were found within the specified time range will appear in the display pane.
  8. To erase data from the browse results, right-click on the desired messages in the display pane of the Browse and Recover Messages tab, then click Erase All Selected.
  9. A confirmation dialog will indicate that all the selected messages will be permanently deleted. Click OK to continue.
  10. A confirmation dialog will indicate that the erase data request has been submitted. Click OK. To monitor the progress of the erase data job, check the Job Controller in the CommCell Console.

Access and Use the Search Console in Outlook

Before You Begin

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook toolbar, click one of the following buttons, as appropriate to your configuration:
    Compliance Search
    End-User Search
  3. On the Search Console login dialog, enter your CommCell user name and password and then click OK. You can also log into the search console as an external domain user, if that external domain is configured in the CommCell. For more information on adding a domain controller, see Add a New Domain Controller in Books Online.
  4. From the Search Console, type the text string or wildcard pattern that you are searching for in the entry space at the top of the window. Note that the asterisk ( * ) and question mark ( ? ) characters are treated as valid wildcards unless surrounded by double-quotes.

    Alternatively, you can click the Query Builder button in the left pane to create your own custom search query, or you can click the My Queries button in the left pane to use previously defined custom search queries.

  5. You can further refine your search by clicking Advanced Search, then entering the desired criteria in the Email, Delegates, Files, Discovery, Job, Advanced, and Tag option groups as appropriate for your search.
  6. Once you have entered all the search criteria, click Search at the top of the Search Console to begin the search, or if Advanced Search criteria has been entered, click Search on the Advanced Search window.
  7. Once the search operation completes, you can click the Search Results button in the left pane, and perform any of the following tasks:
  8. Click Logout to log off the Search Console.

Access and Use the Exchange Offline Mining Tool from Outlook

Before You Begin

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook toolbar, click the following button to launch the Exchange Offline Mining Tool:

  3. From the left pane of the Exchange Offline Mining Tool console, expand the Database node, then expand the Mailbox(es) node(s) and expand the desired mailbox folders then locate the desired messages by performing one of the following tasks:
  4. Once you have located the message(s) to be restored, right-click the message or range of selected messages and select one of the following options as appropriate:

    The Browse Restore Location Dialog will appear.

  5. From the Browse Restore Location Dialog, type in or browse to the location where you would like to restore the message(s). After specifying the restore location, click OK.
  6. To view the restored message(s), double-click the MSG file to open in Outlook, or import the PST file from Outlook.

Configure an Alternate Computer for Launching Stand-Alone Add-Ins

Before you Begin:

  1. From the Tools menu in the CommCell Console, click Control Panel.
  2. From the Control Panel window, click E-Mail & IIS Configuration.
  3. Click the IIS Server tab.
  4. Click the Use Alternate IIS Web URL for Add-in checkbox.
  5. Type the path to the alternate computer's web alias. The path should be entered as follows:

    http://<alternate_computer_iis_server_name>/<web_alias>

  6. Click OK to save the information.
