The Find feature can be used to locate and/or sample Exchange objects (i.e., mail messages, public/web folders, etc.) for restore/recovery/retrieval.
Before You Begin:
- Review the general and agent-specific requirements accessed from
Restore Backup Data,
Recover Archived Data, or
Retrieve Archived Data (depending on the agent type) prior to performing any restore/recovery/retrieval.
- When finding and restoring/recovering data for the Exchange Mailbox
iDataAgent or the Exchange Mailbox
Archiver Agent, in cases where the mailbox alias name has changed, we
strongly recommend restoring/recovering the data out-of-place to the current
mailbox alias name. Otherwise, attempting to restore the data in-place to a
mailbox alias that no longer exists will cause the restore/recovery
operation to fail.
- Note that this procedure can be used to find files, directories, or
objects from backed up data or from data that is content indexed using
previous versions of the software.
Required Capability: See Capabilities and Permitted Actions
To find and restore/recover/retrieve an Exchange object:
- From the CommCell Browser, right-click the agent, backup set, or archive set that contains the data you want to restore/recover/retrieve, click All Tasks, and then click the available Browse command (command names vary by agent). For supported agents, you can click Find from the All Tasks menu at the backup set /
archive set level (or agent level for Exchange Compliance Archiver) and skip directly to
Step 4.
- Run a browse operation. See Browse Data for a list of customized browse operations and their step-by-step instructions. If you accept all defaults, you will be browsing the latest backups/archive
operations for the selected data.
- From the browse window, right-click the agent or backup set/archive set, and then click Find.
(You can also start the Find operation from the other levels in the browse
window.)
- From the Find dialog box, type the name or name pattern of the file, folder or directory that you
want to find in the Search For text box. Optionally, you can narrow
the search by entering criteria in fields under the option groups for Mail and Advanced Options as
applicable for your search. If you would like to specify a time range for
the search, options are provided under the Advanced Options group for
this purpose.
NOTE: If you accessed this dialog as part of a Browse operation, keep in mind that the time range values are not pre-populated by any previously selected time range settings entered on the Browse Options or Advanced Browse Options dialog.
- If your agent supports Content Indexing and you need to search
backward-compatible content indexes,
perform the following tasks:
- From the Find dialog box, click Advanced.
- Enter the desired search criteria in the
Advanced Search dialog box and click OK.
- For the Exchange Compliance Archiver Agent, if you would like to get a sample of multiple files that meet your criteria, specify a sample number with the Show Every field (for example, specifying 4 would list every 4th message that matches your criteria).
- Click Search.
The search results are displayed in the right pane of the Find dialog
box.
- Select and right-click the desired file, folder or directory name then select one of the following:
- Restore the file, folder or directory.
- Restore All Selected files, folders or directories.
- View all Versions of the selected file.
- Restore all Versions of the selected file (not available for
all agents).
Find and Retrieve Messages in Outlook
Before You Begin:
- Review
Performing Compliance Searches from Outlook Add-In.
- This procedure is supported for use with the Exchange Compliance Archiver Agent,
and requires that the Outlook Add-In be installed on the
client computer with the UIOptions registry key set to
enable Browse/Search capabilities.
For more information, see the "Deployment" and "Registry Keys" topics in
Books Online.
- The advanced search fields are only available for backwards compatibility
support of searching legacy content indexes created by prior releases of this
product.
Required Capability: The user name referenced in step 3 must be a member of a CommCell User Group
that has permissions to perform Browse and In Place Recover and
Browse and Out
of Place Recover operations. See "Capabilities and Permitted Actions" in
Books Online
for more information.
To find and retrieve messages in Outlook:
- Log on to your mailbox in Outlook.
- Select Tools -> Mailbox Archiver -> Find and Recover
Messages. An authentication window will display.
- Depending on your configuration, an authentication window may display. If applicable, enter the user name and password authorized to access the CommCell, then click OK. Single sign-on users will not receive this prompt and can skip to
the next step.
- From the Find/Browse and Recover Messages dialog box, click the
Compliance Search tab, then enter the desired search criteria in the
Search tab.
If you would like to search a different Exchange Server than the default
Exchange Server that is connected to this Outlook session, select the desired
Exchange Server from the Select Exchange Server list.
- If applicable, you can click the Time Range tab to specify a time range in which to search.
To set the browse time range, select a Start Time and End Time in
the Search Time Range group box. If you want to narrow the search to
include only messages received within a specified time range, click the
Specify Time Range checkbox then enter the Start Time and End Time
in the Receive Time Range group box.
- If you are searching a backward-compatible content index, you can click the Advanced Search
tab and enter advanced search criteria.
- Once all search criteria has been entered, click Find Now.
- If no messages matched the specified search criteria, the status of the
search operation will display at the bottom of the dialog box to indicate "No
messages found". Otherwise, a list of messages that matched the search criteria will appear in the display pane.
- Perform one of the following actions:
- If you want to save the search
results to a file on the local client computer without retrieving the
messages, then right-click the desired messages in the display pane and
select Export Results View. A dialog will display that allows you to specify the
path and file name in which to save the search results. After entering the
path and file name, click Save. A pop-up window will display to
confirm that the export completed. Click OK. This procedure is now
complete.
- If you want to retrieve one or more messages that matched the search pattern,
then select the desired messages in the display pane and right-click any of the
message(s) within the selected range and select Recover All Selected. The
Recovery Options Selection dialog will display.
Continue on to the next step.
- Select the appropriate options on the
Recovery Options Selection dialog, then click OK.
The status of the retrieve operation will display at the bottom of the dialog
box.
- Navigate to the Retrieved as job ID <job_id#> folder
(for the job ID corresponding to this search and retrieve job) in the target
mailbox and you will see the retrieved messages.
Retrieve Mail Messages
Before You Begin:
- Review the Retrieve Data - Exchange Compliance Archiver Agent prior to performing any retrieve operation.

Before attempting to restore, recover or retrieve messages to a PST file that resides on a UNC path, ensure that the Exchange Admin Account for this agent has sufficient privileges on the destination share to complete the operation (such as read/write and create child objects).
Select the desired procedure:

To Browse and Retrieve Mail Messages to a Target Mailbox:
- From the CommCell Browser, right-click the agent that contains the message(s) that you want to retrieve, click All Tasks and then click the available Browse command (command names vary by agent).
- Run a browse operation. See
Browse and Retrieve for a list of customized browse operations and their step-by-step instructions. If you accept all defaults, you will be browsing data from the latest archive operation for the selected data.
- From the Browse window, select the message(s) that you want to retrieve, then click Recover All Selected. See
Select Objects From the Browse Window for Recover for more information.
- From the Retrieve Options for All Selected Items (General) dialog box, perform the following tasks as applicable for your agent:
- Select To Mailbox to retrieve the message(s) to a mailbox.
- Select the retrieve destination as described in the
Retrieve Out-of-Place or Cross-Application procedure. Keep in mind that the default options will retrieve the message(s) in place to the same client, unless otherwise specified.
- Select whether to Unconditionally Overwrite, Append, or Skip a message in the event that the message(s) you are retrieving already exist. By default, the system will append these message(s) to the mailbox folder. It will not overwrite the original message(s).
- From the Advanced Retrieve Options dialog boxes, select the retrieve options that you want to use. For agents with multiple tabs, do not click OK until you have used all of the desired tabs. When you accept all the default settings, you will be retrieving the selected data to the default target mailbox on the original client.
- When retrieving encrypted data, refer to Data Encryption for comprehensive feature information and procedures for using the Encryption tab of the Advanced Retrieve Options dialog box.
- After completing your selections, you can either start an immediate retrieve or schedule the retrieve operation.
- If you want to schedule the job, click the Job Initiation tab from the Retrieve Options dialog box, click Schedule, schedule the job, and then click OK.
- If you want to run the job now, accept or click Run Immediately in the same tab and then click OK.
While the job is running, you can right-click the job in the Job Controller and select Detail to view information on the job. After the data has been retrieved, you will see a job completion message in the Job Controller and Event Viewer.
To Browse and Retrieve Mail Messages to a PST File:
- From the CommCell Browser, right-click the agent that contains the message(s) that you want to retrieve, click All Tasks and then click the available Browse command (command names vary by agent).
- Run a browse operation. See
Browse and Retrieve for a list of customized browse operations and their step-by-step instructions. If you accept all defaults, you will be browsing data from the latest archive operation for the selected data.
- From the Browse window, select the messages that you want to retrieve, then click Recover All Selected. See

- Select either Local Drive or Network to indicate where the PST file resides (if it already exists) or will reside (if creating a new PST file).
- Specify the path and PST file name in the entry space, or click the "..." button to browse and select (or add) a destination path and file name.
- From the Advanced Retrieve Options dialog boxes, select the retrieve options that you want to use. For agents with multiple tabs, do not click OK until you have used all of the desired tabs. When you accept all the default settings, you will be retrieving the selected data to the default target mailbox on the original client.
