Browse and Recover Messages from the Outlook Client

Before You Begin

Required Capability: See "Capabilities and Permitted Actions" in Books Online.

wedge.gif (136 bytes)To browse and recover messages from the Outlook Client:

  1. Log on to your mailbox in Outlook.
  2. Select Tools -> Mailbox Archiver -> Find and Recover Messages.
  3. Depending on your configuration, an authentication window may display. If applicable, enter the user name and password authorized to access the CommCell, then click OK. Single sign-on users will not receive this prompt and can skip to the next step.
  4. From the Find/Browse and Recover Messages dialog, click the Browse and Recover Messages tab. The Browse Options dialog will display.
  5. From the Browse Options dialog, choose either Browse the latest data or Specify Browse Time. If you selected Specify Browse Time then you will need to enter the Browse Data Before date, time and time zone in the corresponding fields. Optionally, you can click Advanced to access the Advanced Browse Options and enter the Exclude Data Before date, time and time zone. After specifying the browse time and any advanced options, click OK. The Exchange Server Selection dialog will display.
  6. From the Exchange Server Selection dialog, specify which Exchange Server you want to browse then click OK.
  7. If no messages were located within the specified time range, a pop-up window will indicate that no data was found. Otherwise, the messages that were found within the specified time range will appear in the display pane.
  8. To recover data from the browse results, right-click on the desired messages/folders in the display pane of the Browse and Recover Messages tab, then click Recover All Selected. The Recovery Options Selection dialog will display.

    NOTES

  9. Select the appropriate option on the Recovery Options Selection dialog, then click OK. A pop-up window will display indicating the status of the recovery operation.
  10. Once the recovery has completed, click Close to exit the pop-up window.
  11. The messages will be recovered to the Recovered Items folder in your Outlook mailbox.

Find and Recover Messages in Outlook

Before You Begin:

  1. Log on to your mailbox in Outlook.
  2. Select Tools -> Mailbox Archiver -> Find and Recover Messages.
  3. Depending on your configuration, an authentication window may display. If applicable, enter the user name and password authorized to access the CommCell, then click OK. Single sign-on users will not receive this prompt and can skip to the next step.
  4. From the Find and Recover Messages (Search) dialog box select the Exchange Archiver option, then enter the desired search criteria.
  5. Optionally, you can click the Time Range tab to specify a time range in which to search. To set the browse time range, select a Start Time and End Time in the Search Time Range group box. If you want to narrow the search to include only messages received within a specified time range, click the Specify Time Range checkbox then enter the Start Time and End Time in the Receive Time Range group box.
  6. Optionally, if you are searching a legacy content index, you can click the Advanced Search tab and enter advanced search criteria.
  7. Once all search criteria has been entered, click Find Now.
  8. If there is more than one Exchange Server and/or archive set that may be searched, an Exchange Server Selection pop-up dialog will display. Select the appropriate options and click OK to continue.
  9. If no messages matched the specified search criteria, a pop-up will indicate that no data was found. Otherwise, the messages that matched the search criteria will appear in the display pane.
  10. If you would like to save the search results to a delimited text file, then right-click on the desired messages in the display pane and select Export Results View. Enter the path and file name and click Save.
  11. To recover data from the search results, click on the desired messages in the display pane then click Recover All Selected. The Recovery Options Selection dialog will display.
  12. Select the appropriate option on the Recovery Options Selection dialog, then click OK. A pop-up window will display indicating the status of the recovery operation.
  13. Once the recovery has completed, click Close to exit the pop-up window.
  14. The messages will be recovered to the Recovered Items folder in your Outlook mailbox.

Recover All Protected Mail

Before You Begin

Required Capability: See Capabilities and Permitted Actions

wedge.gif (136 bytes)To recover all protected mail from specified mailboxes or folders:

  1. From the CommCell Browser, right-click the Archive Set of the agent that contains the data to be recovered, click All Tasks and then click Browse.
  2. From the Browse Options dialog box, select the browse options that you want to use. If specifying a browse time, click Advanced for the Advanced Browse Options.
  3. Click OK from the Browse Options dialog box to continue.
  4. From the Browse window, select one or more mailbox(es) or folder(s) that contain the data to be recovered, then click Recover All Selected.
  5. From the Recovery Options (General) and Job Initiation dialog boxes, select the desired recovery options. Click Advanced.
  6. From the Advanced Restore / Recover Options (General) tab, select the option to Recover all protected mails. Click OK.
  7. Click OK on the Recovery Options dialog box to begin the recovery operation.

Recover a Message from Outlook Web Access (OWA)

Before You Begin

Required Capability: None.

wedge.gif (136 bytes)To recover a mail message or public folder item from Outlook Web Access (OWA):

  1. Log in to your mailbox in Outlook Web Access (OWA).
  2. In order to recover a message or item that has been archived, locate the message or item you want to recover in OWA, then double-click the stub.
  3. The Archived Message dialog box will indicate that the message being opened is an archived message and will ask whether you want to recover the original message. You can select the Delete stub after recovery checkbox to delete the stub after the message or item has been recovered. Also, you can select the Do not show this page again checkbox to prevent the Archived Message dialog box from being displayed again during subsequent recoveries. Click Recover to continue.

    NOTES

  4. The Recovering Archived Message dialog box appears, indicating the status of the recovery. After the recovery has completed you can double-click the message or item to view its contents.

Recover a Message from the Outlook Client

Before You Begin

Required Capability: None

  1. Log on to your mailbox in Outlook.
  2. In order to recover a message or item that has been archived, locate the message or item you want to recover in Outlook, then double-click the stub.
  3. If the DataArchiver Outlook Add-In was installed with the Prompt user before message recovery option enabled, then the Archived Message dialog box appears; if not, skip to the next step. The dialog will indicate that the message being opened is an archived message and will ask whether you want to recover the original message. Optionally, you can click Open Stub to open the stub and view the generic message properties. Also, you can select the Delete stub after recovery checkbox to delete the stub after the message has been recovered. Click Recover to continue.
  4. The Recovering Archived Message dialog box appears, indicating the status of the recovery. After the recovery has completed, the status will change to "Recovery completed successfully", the message or item will be recovered to either the mailbox/folder from which it was archived or the Recovered Items folder (depending on your configuration), and the message or item will be opened for viewing.

  1. From the CommCell Browser, right-click the archive set that contains the message(s) that you want to recover, click All Tasks and then click the available Browse command (command names vary by agent).
  2. Run a browse operation. See Browsing Data - Migration Archiver Agents - How To for a list of customized browse operations and their step-by-step instructions. If you accept all defaults, you will be browsing the latest migration archiving operations for the selected data.
  3. From the Browse window, select the message(s) that you want to recover, then click Recover All Selected. See Select Objects From the Browse Window for Recovery for more information.
  4. From the Recovery Options for All Selected Items (General) dialog box, perform the following tasks as applicable for your agent:
  5. From the Advanced Recovery Options dialog boxes, select the recovery options that you want to use. For agents with multiple tabs, do not click OK until you have used all of the desired tabs. When you accept all the default settings, you will be recovering the selected data to its original location.
  6. When recovering encrypted data, refer to Data Encryption for comprehensive feature information and procedures for using the Encryption tab of the Advanced Recovery Options dialog box.
  7. After completing your selections, you can either start an immediate recovery or schedule the recovery.

    While the job is running, you can right-click the job in the Job Controller and select Detail to view information on the job. After the data has been recovered, you will see a job completion message in the Job Controller and Event Viewer.

Recover a Message from a Stub in an Archived PST File Using Outlook

Before You Begin

Required Capability: None

wedge.gif (136 bytes)To recover a message from a stub in an archived PST file using Outlook:

  1. From Outlook, log into the mailbox of the user whose PST file has been archived.
  2. Click on the File menu, select Open then Personal Folders File (or Outlook Data File on XP).
  3. Browse to the location where the PST files reside, and select the PST file you want to recover, then click OK to open the PST file.
  4. Go to the folder where the message stub resides, then double-click the stub.
  5. The Archived Message dialog box will ask whether you want to recover the original message. Click Recover.
  6. The recovery job will begin and the Recovering Archived Message dialog box appears, indicating the status of the recovery. After the recovery has completed, the status will change to "Recovery completed successfully" and the message will be recovered to the Recovered Items folder in the mailbox.

Recover a Message in an Archived PST File Using the CommCell Console

Before You Begin

wedge.gif (136 bytes)To browse and recover a message in an archived PST file using the CommCell Console:

  1. From the CommCell Browser, right-click the defaultArchiveSet of the Exchange Mailbox Archiver Agent that contains the message to be recovered, click All Tasks and then click Browse.
  2. From the Browse Options dialog box, select the browse options that you want to use. If specifying a browse time, click Advanced for the Advanced Browse Options.
  3. Click OK from the Browse Options dialog box to continue.
  4. From the Browse window, navigate to the location where the message resides. Typically, this will be within a mailbox of the user, in a subfolder called Archived From PST. Expand the Archived From PST folder and select the desired data that you want to recover. Then click Recover All Selected.
  5. From the Recovery Options (General) and Job Initiation dialog boxes, select the desired recovery options.
  6. When restoring encrypted data, refer to Data Encryption.
  7. Click OK on the Recovery Options dialog box to begin the recovery operation.
  8. When the recovery has completed, a confirmation message will be displayed in the Job Controller window and the message(s) will be recovered to the Archived From PST folder in the user's mailbox.

View Message Stub Attachment Properties

wedge.gif (136 bytes)To view the attachment properties of a message/item stub in Outlook:

  1. Log on to your mailbox in Outlook. The Outlook window appears.
  2. From Outlook, locate the stub for the message or item whose attachment properties you want to view. Click the stub to select it then double-click the attachment icon in the body of the stub to open it.
  3. The attachment properties text file will display the file name and size of the attachment. Select File -> Exit to close the file.
